How to set up text shortcuts on a Mac

Type a short code and have your Mac expand it into an email address, a sign-off or a snippet, with built-in Text Replacements. Syncs to your iPhone too.

macOS has a built-in text expander.

Add one

  1. Open System Settings → Keyboard.
  2. Under Text Input, click Text Replacements.
  3. Click +, type a short code in Replace (such as @@) and the full text in With (such as your email address).

Now type @@ followed by a space in most apps and it expands.

Good ones to add

  • @@ → your email address
  • addr → your postal address
  • ty! → “Thanks, talk soon”

Use codes you’d never type by accident.

They sync

With iCloud, text replacements sync to your iPhone and iPad.

For longer snippets

Text Replacements are single-line and work best for short text. For longer things you paste often, a clipboard history with pins is handier: NotchMind, which I make, keeps pinned items one shortcut away, and ↩ pastes them. See pins in clipboard history.
